How to register your learners

For institutions with a Learning Management System (LMS)

Please share this information with your LMS Manager or training and development team.

  1. After you have completed the ‘opt-in’ form, your organisation’s key contact will receive a SCORM 1.2 proxy file associated with the course that is being hosted in SCORM Cloud. (Note: A SCORM Cloud Dispatch file is just a standard SCORM 1.2 zip package that should be treated like any other SCORM .zip file which you would normally upload into your LMS, with no special instructions required.)
  2. You will need to pass this file to your LMS Manager or training and development team. Your LMS Manager must then upload this file into your LMS.
  3. Once the proxy file is uploaded to your LMS, You must register all your learners during the time period: 15th April – 10th May 2024 (inclusive). Registrations attempted before or after these dates will not be valid.
  4. Your learners will then receive an email inviting them to complete the course. They will have 12 months to complete the course.
  5. You will be able to track and monitor progress on your LMS as you would with any other course.

Next steps upon receipt of the SCORM file

  1. You are now able to upload the SCORM file to your organisation’s LMS and allocate your learners as you would with any course. Depending on the LMS you use, the allocated learners will then receive a link to complete the course.
  2. Your learners will need to ‘launch’ the course by clicking the link before Friday 10th May. The point of registration occurs when the learner launches the course for the first time. Your learners do not need to complete the course during this month, they simply need to launch it for the first time to secure their place. They will have 12 months to complete the course.
  3. You can track and monitor course completion as you would with other courses on your LMS. As set out in the Terms and Conditions of participation in the pilot, the data UKRIO receives is ‘hashed’ or ‘scrambled’ therefore we can only see anonymised information (for example number of learners that have completed the course) however no personal data is shared.

GDPR overview

Any data shared with UKRIO will be used for the process of administering the pilot training course and in accordance with UKRIO’s Data and Privacy Policy.

When we share the proxy/dispatch file with you, we will select to ‘hash’ or ‘scramble’ the dispatch. This is to ensure that your learners’ email addresses will not be shared with UKRIO. For more details on this, please see here.

For institutions without a Learning Management System (LMS)

  1. After you have completed the ‘opt-in’ form, organisation’s key contact will then receive a URL which is unique to your organisation.
  2. You will need to share this link with anyone you wish to complete the course. You must not share this link with anyone other than your learners or post the link publicly as per the Terms of Use.
  3. When learners click on the URL for the first time, they will be required to fill in their first name, last name and email address after which a registration will be created for that learner. Important: Your learners must register themselves during the time period: 15th April – 10th May 2024 (inclusive). Registrations attempted before or after these dates will not be valid. You should make this clear when sharing the link with them.
  4. The registered learner has 12 months to complete the course. The same learner can resume or relaunch the course repeatedly (anytime within the 12 month period) by using their registered email address.

Next steps upon receipt of the URL

  1. Please share the URL with all the learners you wish to participate in the course.
  2. Learners will need to follow the link and register themselves by entering a first name, last name, and email address associated with your organisation. They must complete this step before Friday 10th May.  The point of registration is when the learner launches the course and logs in for the first time. Your learners do not need to complete the course during this month, simply register themselves to secure their place.
  3. At the end of the pilot, we will be able to share a report with high-level data on registration/completion rates.

Relaunching the course

The URL will always take you to the registration form. When an already registered learner signs in again using the URL, it won’t count as a new registration but rather become a standard login and they will be able to continue the course from where they left off.

Upon exiting the course by clicking the ‘Exit Module‘ button, the browser page will be updated with the following options:

  1. Option to relaunch the course  (via a hyperlinked ‘Relaunch Course’ button). Either copy the hyperlink by right clicking the ‘Relaunch Course’ button or bookmark the webpage. This will allow the registered learner to go back into the course without losing progress (no login required).
  2. Option to create a password and login via SCORM Cloud: https://app.cloud.scorm.com/sc/guest/SignInForm

GDPR overview

Where an organisation does not have an LMS, we are not able to anonymise the learner data. Therefore, the first name, surname, and email with which the learner registers themselves will be shared with UKRIO. Data shared with UKRIO will be used for the process of administering the pilot training course and in accordance with UKRIO’s Data and Privacy Policy.
